What is this business trip budget calculator?

A business trip budget calculator combines planned travel expenses for a group into one estimate. It is useful before requesting approval, comparing destinations, or checking whether a supplier quote fits an internal budget. Each traveler is assumed to have the same itinerary and individual costs.

How to use the calculator

Enter the group size and round-trip transportation cost per person. Add hotel nights and the nightly cost allocated to one traveler. Enter expense days separately from nights, then add daily spending per person and one shared amount for the entire group.

Check the input assumptions

Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.

Formula and worked example

Total = travelers × (transportation + nights × nightly hotel cost + expense days × daily expenses) + shared costs. Cost per traveler = total ÷ travelers.

Example calculation

Three travelers each have a $450 fare, two nights at $180, and three expense days at $70. Individual costs total $1,020 per traveler. Add $240 in shared costs for a $3,300 trip budget, or $1,100 per traveler.

These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.

How to interpret your result

Check the biggest cost lines before changing the itinerary. A cheaper fare may add a hotel night or require more ground transportation. Compare complete trip totals and include cancellation terms in the decision.

What the estimate leaves out

This is a user-entered budget, not a booking quote or tax-deduction calculation. Daily spending is your assumption, not a government per diem rate. Conference tickets and travel insurance belong in shared costs if they are not included elsewhere.

Frequently asked questions

Are hotel nights the same as expense days?

Usually not. A trip with two hotel nights may cover three travel days. Enter each separately so meals and incidentals are not understated.

How do I budget for shared hotel rooms?

Divide the total room cost by the travelers sharing it and use that allocated nightly cost per traveler. For mixed arrangements, use a weighted average or calculate each group separately.

Does the daily expense input use an official per diem?

No. It uses the amount you enter. Follow your company policy and confirm any applicable reimbursement rules separately; this tool does not determine eligibility.

Where do I add taxis and event tickets?

Add the group total under other costs, unless already included in another input. A $100 ticket for three people adds $300 to the shared-cost field.

Can I use this for different travel schedules?

Calculate separate groups with matching schedules and add their totals. Averaging nights or fares can be useful for early planning but may hide expensive outliers.
