What is this service vehicle cost per job calculator?
A service vehicle cost per job calculator allocates entered monthly transportation expenses over completed service visits. It helps field service businesses understand a cost that can be hidden inside general overhead when reviewing job pricing.
How to use the calculator
Use mileage, vehicle expenses, and completed jobs from the same month and operating group. Enter variable expenses per mile separately from monthly fixed costs. Add parking and tolls only when they are not already included in the mileage cost.
Check the input assumptions
Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.
Formula and worked example
Example calculation
A vehicle travels 2,000 business miles at $0.25 in variable cost per mile. Mileage expense is $500. Add $900 in fixed costs and $100 in parking and tolls for $1,500 total. Across 150 completed jobs, vehicle cost is $10 per job and $0.75 per mile.
These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.
How to interpret your result
Use cost per job as one input to service pricing alongside technician labor, materials, and overhead. A month with fewer completed jobs spreads fixed expenses across fewer visits, increasing the average even if the vehicle contract has not changed.
What the estimate leaves out
This is an average allocation, not the exact incremental cost of the next job or a mileage reimbursement calculation. Include failed-visit miles if they were incurred serving the completed workload, and analyze long-distance appointments separately when averages would distort pricing.
Frequently asked questions
Can I use a reimbursement mileage rate?
Only if that rate matches the cost basis you want to allocate. If it already includes fixed vehicle expenses, set those separate inputs to zero to avoid counting them twice.
Can this cover an entire fleet?
Yes. Use total fleet miles, combined fixed expenses, and total jobs completed by that fleet. Use a mileage-weighted variable cost when vehicles have different operating costs.
Should failed visits count as completed jobs?
No, when measuring cost per successful job. Include their associated business miles and expenses in the numerator so the completed jobs carry that cost.
What does zero mileage mean?
Fixed expenses can still produce a cost per job, but cost per mile is undefined. Check whether mileage is missing before using the estimate for decisions.
Is this the price I should charge for travel?
No. It is a cost allocation. Pricing also depends on labor, overhead, margin, contracts, market conditions, and whether travel is billed separately or included in the service fee.
