What is this scheduled maintenance cost calculator?
A scheduled maintenance cost calculator adds up the labor, parts, and shared expenses of a recurring service plan. It gives operations teams a budget for comparable assets with the same planned service frequency. The result represents the entered program, not a recommendation about how often equipment should be serviced.
How to use the calculator
Group assets with the same maintenance tasks and frequency. Enter the number of annual services per asset, total person-hours per service, and a loaded labor cost. Add parts per service and shared annual expenses once. Calculate different asset groups separately when their requirements differ.
Check the input assumptions
Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.
Formula and worked example
Example calculation
Twenty assets serviced four times per year require 80 service events. At 1.5 person-hours and $40 per hour, annual labor costs $4,800. Parts at $35 per event add $2,800. With $1,200 of shared costs, the annual budget is $8,800, or $440 per asset and an average of $733.33 per month.
These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.
How to interpret your result
Use the total for annual budgeting and the person-hours for workload planning. The monthly figure spreads the annual total evenly; it does not predict invoice timing. Test longer service times or higher parts prices before setting a contingency allowance.
What the estimate leaves out
The model excludes breakdown repairs, production interruption, replacement equipment, and expenses not entered. It does not choose maintenance intervals, validate task scope, or assess safety. Follow the applicable asset guidance and approved maintenance plan when deciding the work itself.
Frequently asked questions
Is four services per year a recommended schedule?
No. It is an example input. Use the schedule appropriate to the asset and approved work plan, rather than treating a calculator default as equipment guidance.
How do I include two technicians on a job?
Enter their combined person-hours. Two technicians working 45 minutes each use 1.5 person-hours, even though elapsed service time is 45 minutes.
Can the calculator cover different asset types?
Calculate groups separately when service times, frequency, or parts costs differ. Add their totals and allocate shared expenses only once across the complete program.
Does the monthly budget show actual spending by month?
No. It is the annual estimate divided by 12. Schedule service events and supplier payments separately if cash timing matters.
Does this include emergency repairs?
Only if you deliberately add an allowance to other annual costs. Keep that allowance labeled separately in your records so planned servicing and failure-related spending remain visible.
