What is this document scanning project cost calculator?
A document scanning cost calculator combines staff effort with page-based and fixed project charges. It helps a business estimate the resources needed to convert paper records into digital files. It values the complete workflow you enter, not just the scanner advertised speed.
How to use the calculator
Count pages as captured sides, including both sides of a duplex document when scanned. Estimate hands-on staff minutes per 100 pages across preparation, capture, checking, and indexing. Enter a loaded staff cost, additional per-page charges, and one-time project expenses without double-counting supplier fees.
Check the input assumptions
Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.
Formula and worked example
Example calculation
Ten thousand pages at 30 staff minutes per 100 pages require 50 person-hours. At $24 per hour, labor costs $1,200. Additional charges of $0.02 per page add $200, and setup adds another $200. The modeled total is $1,600, or $0.16 per page.
These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.
How to interpret your result
Compare the same document condition and output requirements across options. Staple removal, fragile paper, indexing fields, and manual quality checks can take more effort than image capture. Run a small representative sample to improve the time estimate before approving a large project.
What the estimate leaves out
This is a resource-cost estimate, not a supplier quote or an elapsed delivery schedule. It does not assess file quality, privacy controls, legal retention obligations, or whether originals may be destroyed. Include required handling and storage costs separately where relevant.
Frequently asked questions
Is one page the same as one sheet?
A page here is one captured side. A physical sheet scanned on both sides counts as two pages. Use that definition consistently with any supplier quote.
Can I use the scanner rated speed for the time input?
Not by itself. The input represents staff effort across the workflow. Preparation, indexing, checking, rescanning, and handling can dominate the work even with a fast scanner.
How do I compare an outsourced quote?
Use the supplier per-page charge as the additional page cost and include only internal labor outside that service. Do not count the supplier labor again as your own scanning effort.
Does reducing staff time automatically save cash?
No. It releases capacity. Salaried payroll may stay unchanged, so distinguish allocated labor value from a reduction in invoices or paid hours.
Can I destroy originals after scanning?
This calculator cannot determine that. Follow the applicable retention policy, quality requirements, and authorization process before disposing of physical records.
