What is this event staffing cost calculator?
An event staffing cost calculator totals the hours and rates in a proposed staffing plan. It includes setup and teardown as well as the public event, helping organizers avoid budgeting only for the time guests are present.
How to use the calculator
Enter general staff count and hours for each phase. Use a loaded rate or complete agency charge. Enter supervisor person-hours separately and add staffing-related charges not already included. For different teams or rates, calculate groups separately.
Check the input assumptions
Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.
Formula and worked example
Example calculation
Twelve staff each work two setup hours, six event hours, and one teardown hour: 108 person-hours. At $25 per hour, general staffing costs $2,700. Ten supervisor hours at $35 add $350, and other charges add $150, producing a $3,200 total.
These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.
How to interpret your result
Review every phase against the run sheet. More people at setup may be needed even when fewer are required during the event. A single blended plan is useful for early budgeting, but the final roster should reflect roles, shifts, and coverage.
What the estimate leaves out
This tool calculates cost for the plan you enter; it does not recommend headcount or check safety, security, breaks, overtime, or employment requirements. It assumes a constant rate for each entered group and excludes costs not supplied.
Frequently asked questions
Does the calculator tell me how many staff to hire?
No. Staff count is your input. Determine coverage from the event layout, duties, venue requirements, and qualified operational planning.
Should setup and teardown hours be included?
Yes. They can represent a substantial part of the staffing budget even when attendees are not present. Enter hours per general staff member for each phase.
What if staff have different schedules?
Calculate each schedule group separately and add their totals. Do not assume everyone works the full event if the actual roster uses shifts.
Can I enter an agency hourly rate?
Yes, if it is the complete comparable charge. Avoid adding payroll burdens again when they are already included in the agency rate.
Are premium rates calculated automatically?
No. Enter rates that match your staffing agreement and planning assumptions. Calculate premium-rate hours as a separate group if a constant rate would be misleading.
