What is this meeting cost calculator?

A meeting cost calculator assigns a monetary value to participant time. It includes the meeting itself and average preparation or follow-up, making the resource commitment visible when reviewing agendas and recurring team rituals.

How to use the calculator

Count attendees who participate for the full session. Enter meeting minutes and average preparation minutes per person. Use a blended loaded hourly cost and the number of actual meetings planned for the year, rather than automatically assuming every week has one.

Check the input assumptions

Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.

Formula and worked example

Participant hours per meeting = attendees × (meeting minutes + preparation minutes) ÷ 60. Time cost per meeting = participant hours × loaded hourly cost. Annual time cost = meeting cost × annual meetings.

Example calculation

Eight attendees spend 60 minutes in a meeting and 15 minutes preparing. That is ten participant-hours. At $45 per hour, the time value is $450 per meeting. Across 48 meetings, the annual total is 480 participant-hours valued at $21,600.

These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.

How to interpret your result

Use the estimate to ask whether the agenda needs every attendee and whether decisions are made efficiently. A high time cost is not proof that a meeting is wasteful: coordination, risk reduction, and customer decisions may justify the commitment.

What the estimate leaves out

The model assumes equal attendance and a representative hourly cost. It excludes rooms, travel, and software charges. It does not measure output or determine whether payroll can be reduced by canceling a meeting.

Frequently asked questions

Should I include preparation and follow-up?

Yes, if those activities are required for the meeting. Enter the average per attendee. For uneven workloads, total the preparation minutes and divide by the attendee count.

How do I calculate a blended hourly cost?

Add the hourly employment costs of all full-time attendees and divide by their number. If attendance durations differ, use a time-weighted calculation separately or split the meeting into groups.

Does canceling the meeting save the displayed money?

Not automatically. It releases employee time, while salaries may remain unchanged. Cash savings require a real reduction in paid costs or another measurable economic effect.

Why use 48 meetings instead of 52?

It is only an example allowing for skipped weeks. Enter the actual expected count after holidays, cancellations, and seasonal changes.

Can the tool tell whether a meeting is worth having?

No. Compare the time commitment with the decisions, coordination, and outcomes the meeting supports. Cost alone cannot measure its business value.
