What is office cost per employee?

This calculator divides annual workplace expenses by the employees the office supports. It also shows the cost per installed desk. These measures help facilities and finance teams discuss the cost base, especially when a hybrid workforce uses fewer desks than its total headcount.

Headcount and attendance are different

Supported employees are the people included in the allocation, not the number present on a typical day. Using daily attendance would answer a different question and can make comparisons misleading.

How to use the office cost calculator

Gather annual rent, utilities, and facilities-service expenses for the same office and period. Exclude items already bundled into another line. Enter supported employees and usable desks, calculate, and label the allocation basis when sharing the result.

  1. Choose one consistent period or scenario.
  2. Replace the example values with your own records or clearly labeled assumptions.
  3. Select Calculate results and review each output alongside the formula below.
  4. Change one uncertain input at a time to compare a more cautious scenario.

Use a consistent reporting scope

Compare the same office footprint and expense categories across periods. If one office includes cleaning in rent and another pays it separately, include it once in each total. Add relevant service expenses consistently rather than relying on rent alone.

Office cost formula and example

An office with $120,000 rent, $18,000 utilities, and $12,000 services costs $150,000 annually. Across 50 employees, that is $3,000 per employee per year or $250 monthly. With 40 desks, annual cost per installed desk is $3,750. Total monthly office expense is $12,500.

Annual office cost = rent + utilities + facilities services. Cost per employee = annual office cost ÷ supported employees. Cost per desk = annual office cost ÷ installed desks.

Interpret the two denominators

Cost per employee allocates expense to the supported workforce. Cost per desk allocates it to installed workspace. Neither measure tells you how often the desks are occupied; use attendance and desk-demand records alongside them.

Using the result in workplace planning

Compare costs with the functions the office supports, access needs, and working patterns. Review a change in headcount separately from a change in office expense. Adding employees can lower allocated cost per employee even when the lease bill stays unchanged.

Separate allocation from achievable savings

Reducing desks or attendance may not reduce rent during a fixed lease. Moving, fit-out, restoration, and contractual costs are outside this simple allocation. Evaluate actual changes in spending before presenting a lower footprint as a saving.

Frequently asked questions

Should I use total employees or daily attendance?

Use the supported workforce for this cost-per-employee measure. If you want cost per attendee, calculate it separately and label it clearly so the two metrics are not mixed.

Can I include remote employees?

Yes, if they are genuinely part of the workforce you choose to allocate the office cost across. State that basis, because including people who never use the office changes the interpretation.

Does the result show savings from removing desks?

No. It allocates the current cost base. Actual savings depend on which expenses can change, such as a lease reduction, service change, or avoided future purchase.

What costs belong in facilities services?

Include relevant cleaning, maintenance, security, or similar office expenses that are not already included in rent or utilities. Use the same accounting period for all inputs.

Can I compare two offices with this calculator?

Yes. Run each office with consistent expense categories and workforce definitions. Also consider differences in service, space, and working patterns before treating a lower number as better.
