What is backlog clearance time?
This support backlog clearance calculator helps you estimate working days needed to clear a ticket queue.
Backlog clearance time estimates how long it takes to resolve a starting queue after servicing new demand. The key quantity is spare resolution capacity, not total ticket output.
New arrivals consume capacity first
If a team resolves 125 tickets daily but receives 100, only 25 tickets of net capacity remain to reduce the existing backlog.
How to use the calculator
Enter the starting queue, average new daily tickets, agents available, productive resolution hours, and average total handling time. Use working-day averages consistently.
Measure resolution effort
First-response time is a waiting-time metric and should not be entered as handling time. Include the staff effort required across the ticket’s lifecycle.
Step-by-step planning checklist
- Count the starting queue and measure new demand on the same working-day basis as staffing.
- Enter productive resolution hours rather than the full paid shift.
- Include total staff handling effort across each ticket’s lifecycle.
- Compare resolution capacity with incoming work before relying on the clearance date.
Formula and example
Five agents with five productive hours each and 12 minutes per ticket can resolve 125 tickets per day. After 100 new tickets arrive, net clearance is 25. A 500-ticket backlog then takes 20 working days to clear.
When the queue cannot shrink
If new demand equals or exceeds capacity, the model reports that the backlog will not clear instead of returning a negative or infinite number of days.
Use the estimate for recovery planning
Compare temporary staffing, fewer avoidable tickets, or process changes that reduce handling effort. Protect resolution quality rather than assuming faster handling is always better.
What this model excludes
Priority queues, weekends, skill constraints, rework variability, and arrival peaks are not simulated. This tool does not predict service levels or replace a queueing model.
Frequently asked questions
Are the results calendar days?
No. They are working days with the staffing and demand you entered.
A 20-working-day estimate may span more than four calendar weeks when holidays or reduced staffing occur. Convert it using your actual operating schedule.
What if capacity equals new demand?
A positive starting backlog stays unchanged in the simple model and will not clear.
A team can be busy every day without reducing its old queue. Clearance requires capacity above the effort needed for incoming tickets.
Can I use first-response time?
No. Use the total staff handling time required to resolve a ticket.
A ticket waiting three days may involve only 20 minutes of staff effort. Waiting time and hands-on resolution effort describe different things.
Should reopened tickets be included?
Yes, consistently. Include their effort in handling time or count them as demand, without double-counting.
For example, either capture all reopening effort in average handling time or define reopened tickets as separate workload. Do not apply both for the same work.
Does zero starting backlog mean no staffing problem?
No. If incoming demand exceeds capacity, a new backlog will grow even when the initial queue is zero.
Check net daily capacity even when the initial queue is empty. A negative balance signals new demand will accumulate under the entered assumptions.
