What is this training session capacity calculator?

A training session capacity calculator converts a learner count into whole classes and delivery weeks. It is useful for scheduling a rollout when class size is limited by room capacity, trainer attention, or the learning format.

How to use the calculator

Count unique learners and set the maximum seats in each class. Enter session duration and the total classes your team can deliver each week. Add preparation hours per session to estimate trainer workload beyond classroom delivery.

Check the input assumptions

Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.

Formula and worked example

Sessions = round up(learners ÷ seats per session). Weeks = round up(sessions ÷ weekly sessions). Unfilled seats = sessions × seats − learners. Trainer hours = sessions × (delivery hours + preparation hours).

Example calculation

Training 95 learners in groups of 20 requires five sessions and provides 100 seats. Five seats remain unfilled. At two sessions per week, the schedule spans three weeks. Three delivery hours plus one preparation hour per session require 20 trainer hours.

These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.

How to interpret your result

Rounding up prevents the schedule from leaving learners without a place. The final week may be partly used: five sessions at two per week means two full weeks and one additional class. A smaller class can improve instruction but requires more trainer time.

What the estimate leaves out

Every learner is assumed to attend one complete session and every session has the same duration and capacity. Multiple modules, absences, prerequisites, room availability, and simultaneous trainer requirements need a more detailed schedule.

Frequently asked questions

Why are sessions rounded up?

A partial class still requires a scheduled session. With 21 learners and 20 seats, you need two sessions even though the second has only one learner.

Does this include repeat attendance?

No. Add expected repeat attendances to the learner count for a simple workload estimate, or plan repeats separately so unique learners and attendances remain distinct.

Can several trainers deliver classes?

Yes. Enter the combined number of sessions the team can deliver weekly. Trainer delivery hours assume one trainer per session; multiply separately for co-taught classes.

What happens when there are no learners?

The calculator returns zero sessions, zero weeks, and zero trainer hours. Seats and weekly capacity must still be positive to define a usable schedule.

Is this a calendar scheduling tool?

No. It estimates the number of delivery weeks. Place the actual sessions on a calendar and check holidays, employee shifts, and room availability before confirming dates.
