What is this employee training cost calculator?
An employee training cost calculator combines the direct budget for a program with the value of employee attendance time. It helps learning teams compare delivery options and explain why tuition alone can understate the resources committed to training.
How to use the calculator
Enter the number of participants and the training hours each employee will attend. Use a loaded hourly cost, then add per-person course fees, materials, and shared program costs. Keep the same program scope when comparing classroom, online, and blended delivery.
Check the input assumptions
Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.
Formula and worked example
Example calculation
Twenty employees attending six hours at $35 per hour represent $4,200 of staff time. Course fees of $120 and materials of $25 per employee add $2,900. With $1,500 of shared costs, direct spending is $4,400 and modeled total cost is $8,600, or $430 per learner.
These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.
How to interpret your result
Use direct spending for the incremental supplier budget and the combined figure for a fuller resource comparison. Lower cost per learner is only useful when content, support, completion rates, and learning objectives are comparable.
What the estimate leaves out
Existing payroll may not rise when employees attend a course. The time component describes resource use rather than a new invoice. The tool does not estimate retention, performance improvement, compliance outcomes, or the return on training.
Frequently asked questions
Should I use salary or a billing rate?
Use a loaded employment cost per hour, including the employer costs relevant to your planning. A client billing rate describes revenue and can overstate the cost of attendance.
Does this calculate training ROI?
No. ROI needs a defensible benefit estimate over a defined period. This tool calculates costs only, so it cannot show whether training improved performance.
Where should I enter trainer preparation time?
Value preparation hours separately and add that amount to shared program costs. Do not repeat the same expense if it is already included in a supplier fee.
How do I handle self-paced training?
Use realistic average completion hours, including required exercises. Calculate groups separately when employee time costs or course requirements differ substantially.
Are participant wages an additional cash expense?
Not always. Salaried employees may earn the same pay regardless of training. The separate time-value line lets you distinguish allocated capacity from direct program spending.
