What is this event catering budget calculator?
This catering budget calculator combines a whole-meal quantity, a per-meal price, fixed charges, a service charge, and a user-entered tax assumption. It makes the charge sequence visible so organizers can compare quotes on a consistent basis.
How to use the calculator
Enter expected guests and an extra-meal buffer. Add the quoted meal price and other pre-tax charges. Enter the service-charge percentage applied to that base, then the tax assumption. Choose whether the service charge is included in the tax base using zero or one, as appropriate to the quote.
Check the input assumptions
Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.
Formula and worked example
Example calculation
For 120 guests with a 5% buffer, order 126 meals. At $35 each, food costs $4,410. Add $200 other charges for a $4,610 base. An 18% service charge is $829.80. With 8% tax applied to both base and service charge, tax is $435.18 and total is $5,874.98, or $48.96 per expected guest.
These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.
How to interpret your result
Compare total cost per expected guest, not just the menu price. Check whether a service charge includes gratuity or whether a separate tip is expected. Review cancellation terms and the final guest-count deadline before confirming quantities.
What the estimate leaves out
Tax rates, taxable charge treatment, gratuity, and supplier minimums are not determined by the tool. It assumes all base charges share the entered tax treatment and the service charge applies to the whole base. Use a supplier calculation for mixed taxable items or different charge rules.
Frequently asked questions
Is the example tax rate correct for my event?
The example is only a calculation input, not a location-specific rate. Use the supplier quote and confirm the applicable treatment separately.
Why are meals rounded up?
Meals are treated as whole quantities. If a buffer produces 125.4 meals, the calculator orders 126 so the planned allowance is not rounded down.
Is a service charge the same as a gratuity?
Do not assume so. Ask the supplier what the charge covers and whether gratuity is included. This tool does not add a separate tip automatically.
What does the tax-base switch do?
Zero applies the entered tax rate to the pre-service base only. One includes the service charge in that base. Choose the treatment appropriate to the actual quote.
What if some items are taxed differently?
This simplified calculator uses one rate and base treatment. Calculate those items separately or use the supplier itemized estimate rather than forcing mixed rules into one percentage.
