What is this appointment slot capacity calculator?

Appointment slot capacity estimates how many complete sessions fit into a provider’s workday. The model subtracts non-bookable time and treats each session plus its buffer as one block. It then scales the whole-slot count across comparable providers.

How to use the calculator

Enter scheduled hours and non-bookable minutes for one provider. Set session duration and the buffer allocated to each slot. Enter the number of providers using that same schedule. Calculate differing schedules separately.

Check the input assumptions

Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.

Formula and worked example

Available minutes = hours × 60 − non-bookable minutes. Slots per provider = round down(available minutes ÷ (duration + buffer)). Total slots = slots per provider × providers.

Example calculation

An eight-hour day minus 60 non-bookable minutes leaves 420 minutes. A 45-minute session plus 15-minute buffer makes a 60-minute block. Seven slots per provider across three providers gives 21 daily slots.

These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.

How to interpret your result

Use capacity as an upper planning limit, then check shared rooms and customer demand. The calculation assumes appointment blocks can be arranged within the remaining time without additional gaps.

What the estimate leaves out

Break placement, mixed appointment lengths, equipment sharing, and no-shows are not modeled. Buffer time is charged to every appointment, including the last one.

Frequently asked questions

Does the last appointment include a buffer?

Yes. The model allocates the same buffer to every slot for consistent planning.

Can providers have different schedules?

Run each schedule group separately and add the resulting slot counts.

Why round down?

A partial block does not provide enough time for a complete appointment and its buffer.

Do available slots equal expected bookings?

No. Slots describe capacity; actual bookings depend on demand and scheduling constraints.

What if breaks exceed the workday?

The calculator shows an input error because that would leave negative bookable time.
