What is this data entry project cost calculator?

A data entry project cost calculator estimates the person-hours needed to enter records and perform additional checks. It then applies an hourly labor cost and adds fixed setup expenses. It is useful for comparing the same scope of internal work and contractor proposals.

How to use the calculator

Time a representative sample of records, including normal handling. Enter the total record count and minutes per record. Add a quality-check percentage only for checking time outside the entry estimate, then enter the hourly rate and fixed setup cost.

Check the input assumptions

Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.

Formula and worked example

Entry hours = records × minutes per record ÷ 60. Check hours = entry hours × check percentage ÷ 100. Total cost = (entry hours + check hours) × hourly cost + setup cost.

Example calculation

Five thousand records at 1.2 minutes each require 100 entry hours. A 20% checking allowance adds 20 hours. At $22 per hour, 120 hours cost $2,640; adding $100 setup gives $2,740.

These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.

How to interpret your result

Use total person-hours for workload planning. Dividing these hours among more workers may shorten elapsed time only if the work can be shared and enough supervision and system access are available.

What the estimate leaves out

The model does not measure record accuracy or predict rework. Different record types should be estimated separately. Fixed setup costs apply even if the record count is zero.

Frequently asked questions

Does 20% mean an expected error rate?

No. It adds checking hours equal to 20% of entry hours. Error rates are a different measure.

Can I use records with different complexity?

Estimate each group separately or use a weighted average based on a representative sample.

Does this estimate delivery days?

No. It estimates person-hours. Staffing, productive hours, queues, and approvals determine the delivery schedule.

What if checking is already included in entry time?

Set the separate quality-check percentage to zero to avoid counting it twice.

Are software subscriptions included?

Only if you include the relevant project cost in the fixed-cost field. Avoid allocating the entire annual subscription to a small project without a reason.
