What is this transcript review workload calculator?

This calculator converts audio duration into transcript-review effort using your observed review ratio. It estimates labor value and whole working days at the team’s productive daily capacity.

How to use the calculator

Enter audio hours and the review hours needed per audio hour. Include normal correction and checking effort in that ratio. Add reviewer count, daily productive hours, and hourly cost. Calculate different audio-quality groups separately.

Check the input assumptions

Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.

Formula and worked example

Review hours = audio hours × review ratio. Daily team capacity = reviewers × productive hours per day. Working days = round up(review hours ÷ daily capacity). Labor cost = review hours × hourly cost.

Example calculation

Ten audio hours at 2.5 review hours per audio hour require 25 person-hours. Two reviewers with five productive hours each provide ten hours daily, so plan three whole working days. At $28 per hour, labor costs $700.

These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.

How to interpret your result

Use the result as a workload estimate. A partial final day is rounded up for scheduling, but labor cost uses the actual modeled hours rather than charging for every available hour.

What the estimate leaves out

The model assumes work can be divided among reviewers. It does not assess confidentiality requirements, transcription quality, or whether specialist verification is needed.

Frequently asked questions

What does a review ratio of 2.5 mean?

One hour of audio requires 2.5 staff hours to review and correct under your assumed workflow.

Why are days rounded up but cost is not?

Days describe a whole-day schedule allowance. Cost is based on the underlying person-hours.

Can reviewers work on different files?

Yes, if the files can be allocated independently without introducing additional coordination delays.

Does this include writing the original transcript?

Only if you deliberately include that work in the effort ratio. Normally this tool covers review of an existing transcript.

How should poor audio be handled?

Use a measured higher effort ratio or estimate that group separately.
