What is this appointment no-show rate calculator?

This calculator measures no-shows within a defined group of eligible appointments. It helps service businesses track missed capacity without mixing early cancellations into the same measure. Each booking counts equally regardless of its duration or value.

How to use the calculator

Choose the period and cancellation cutoff. Count eligible bookings after applying that policy, then count no-shows from those same bookings. Keep rescheduled appointments and duplicates from inflating the denominator.

Check the input assumptions

Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.

Formula and worked example

No-show rate = no-shows ÷ eligible bookings × 100. Bookings without a no-show = eligible bookings − no-shows.

Example calculation

With 250 eligible bookings and 20 no-shows, the rate is 8%. The remaining 230 bookings did not receive the no-show classification.

These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.

How to interpret your result

Compare similar services and booking channels. A short appointment and a full-day engagement have different operational effects, so review lost time alongside the percentage.

What the estimate leaves out

The result depends on how you define late cancellations and attendance. It does not establish a financial loss or predict whether reminders will change behavior.

Frequently asked questions

Do canceled appointments count?

Apply your documented cutoff. Early cancellations are commonly tracked separately, but use one consistent rule for this calculation.

Should I count rescheduled bookings twice?

Avoid duplicate counting within the same reporting group. Record the original outcome and new booking consistently.

Does a no-show always mean lost revenue?

No. Payment policies, replacement work, and later bookings can change the financial effect.

What happens with no bookings?

The tool reports no eligible bookings rather than assigning a misleading percentage.

Is 8% a recommended target?

No. It is an example result. Use your own service commitments and comparable history.
