What is this purchase order administration capacity calculator?
This calculator estimates daily administrative capacity for a defined purchase-order workflow. It rounds each person’s productive time down to complete orders, then multiplies by staff count.
How to use the calculator
Enter staff assigned and productive hours per person after other duties. Use average hands-on minutes per complete order, including normal exception work. Separate different workflow types when their handling effort differs.
Check the input assumptions
Review the help text beneath each field before calculating. Enter amounts in US dollars where shown and use consistent units. Change one assumption at a time to understand which inputs affect your result.
Formula and worked example
Example calculation
Three administrators with six productive hours each have 360 minutes per person. At 12 minutes per order, each can process 30 whole orders, giving 90 orders per day.
These numbers illustrate the calculation; they are not recommended rates or industry benchmarks.
How to interpret your result
Compare capacity with expected incoming orders and available approval capacity. Processing work faster at one stage may simply move the queue to the next stage.
What the estimate leaves out
The model does not estimate end-to-end procurement lead time or guarantee approval completion. Leftover time is not pooled across administrators.
Frequently asked questions
Is this the time until a supplier receives an order?
No. It estimates hands-on processing capacity, not delays between workflow stages.
Should exception time be included?
Yes, use a representative average if exceptions belong to the same workflow.
Why are orders rounded down per person?
Each person needs enough time to complete a whole order in this model.
Can I include part-time staff?
Use groups with matching productive hours and add their capacities.
Does this measure staff performance?
No. The output reflects your assumptions and does not account for quality or task complexity.
